• Planning Timeline Preparing for a large outdoor festival requires a tremendous amount of early planning, usually months in advance. To ensure that all tasks are completed on time, you will need to delegate tasks to members of your event team. Tasks should be assigned to staffers according to their field of expertise. It is critical to ensure that all permit applications and other required government forms are submitted by the filing deadlines. There are eight applications that must be filed, and four other types of documentation that must be submitted to the city in order to move ahead with festival plans. Using the Outdoor Festival Scenario for reference, complete the items listed below.

(a) Place the name/type of each of the permit applications in the timeline spreadsheet in the order in which they must be completed.

(b) Enter the due date on the planning timeline based on the application deadline. (c) Because of their experience with certain tasks or duties, each team member has been given a specific role. Based on

the type of application or documentation involved, assign that duty to the team member that is most appropriate. Enter the name of the team member on the planning timeline.

(d) Select the appropriate category code for each team member.

• Event Schedule Use the information provided in the Outdoor Festival Scenario and in the list below to create the Festival and Stage Schedules. You must meet each of the following conditions:  On the Stage Schedules, allow 30 minutes for soundcheck on the Side Stage and 45 minutes for the Main Stage. The

soundchecks cannot occur at the same time, but both must be completed by the time you open the gates to the public.  The first of the national acts will kick off the show on the main stage promptly at 3:00 pm.  Plan the schedule so that each of the national bands on the Main Stage plays a 40-minute set, except for the headliner, who

plays 60 minutes with the possibility of an encore. In between the national acts, each regional band on the Side Stage will play a 25-minute set. Allow a 5-minute gap between the end of the previous band and the start of the next one. (It’s good to build in flex time, and it allows attendees to move and shift their attention from one stage to the other.)

 Due to the local noise ordinance, the last band MUST be off the stage no later than 11:00 pm.  On the Festival Schedule, after the first band starts, members of the Site Planning/Logistics team must service the free

water stations once every hour. Other members of the team must service the portable restrooms once every 90 minutes. Identify these items on the schedule as “Check H2O” and “Check RR.”

 On the Festival Schedule, members of the Vendor/Concessions team must make the rounds and inspect the food and merchandise areas at 5:30 pm and 8:00 pm. Identify these items as “VC Rounds.”

 The sun sets at approximately 8:15 pm on the day of the festival. Auxiliary lighting at the festival site should be switched on by 7:15 pm. Identify this item as “Aux Lights.”
